Find out what is actually wrong, then prove you fixed it

A 3.8 tells you there is a problem. It does not tell you what. Reviewflowz reads every review and sorts what people say into topics. Wait times. Reception. Billing. Discharge. Each one gets its own split, positive against negative, per site. So you can pick the two that matter and go and fix them. Then look at the same topics next month and see whether the fix worked. That loop is how Unisana moved 0.6 stars in a year.

"…checked in at 9:10 and was still sitting there at ten, and nobody once told us what was happening…"

It replies the way you already reply

The agent does not invent a house style. It reads the replies you have already written and works from those. So whatever you have been careful about, it is careful about too. If you have never confirmed a patient’s treatment in a reply, it does not start now. Then every draft lands in a queue. Approve it, edit it, or let the ones you trust go on their own. Seconds instead of ten minutes, the same voice at every site, and nothing reaches a patient that nobody read.

“Felt rushed, and nobody explained what happens next.”

Draft, in your words

“Thank you for taking the time to tell us. We are sorry it felt rushed. Please call the practice on (555) 010 4477 and we will look into it properly.”

See what is actually moving your rating

Connect one location and look at your own data. About five minutes, and your review history comes with it.

You will know which name keeps coming up

Patients name people. The nurse was lovely. The woman on reception was not. Reviewflowz tracks those names, nicknames and misspellings included, and attaches each review to the person. So someone who is quietly costing you satisfaction shows up in a week, not at their annual review. It works the other way round too, which is the half people forget.

Some questions do not belong on Google

Not every piece of feedback should be a public review. Build a private form, ask exactly what you need to ask, and send it to whoever you choose. The answers come back anonymous and stay internal. Use it when you have changed something and want to know if it landed, or when the question is too specific, or too sensitive, to put on a public profile.

FAQs

How does sentiment analysis work on patient reviews?

Every review is read and broken into topics, and each topic gets its own positive and negative split. Wait times, reception, billing, parking, discharge, whatever your patients actually raise. The topics come from your reviews rather than a fixed list, so they match how your patients talk. You can see the split per site and watch it month by month, which is what makes it useful for changing a process and then checking the change worked.

How does the agent know what we are allowed to say?

It learns it from you. The agent is built on the replies your team has already written, so the habits you have kept to are the habits it keeps to. If your replies have never confirmed that someone was treated with you, its drafts will not either. That is a more reliable guard than a rule list, because it matches your actual practice rather than someone else’s idea of it. You can also backtest it against your reply history before it answers anything live.

Does a person still approve replies?

Yes, and in healthcare most groups keep it that way. Every draft lands in a queue and someone approves, edits, or sends it back. You can let specific kinds of reply post automatically once you trust them, or leave everything gated. Nothing publishes on a low rating without a person seeing it first.

How do you track which staff member a review is about?

Names in the review text are matched to your team, including nicknames and misspellings, and the review is attached to that person. You get reviews and ratings per staff member, so a pattern shows up while you can still do something about it. The same view shows who is consistently getting praised, which is usually the more useful half.

What are private forms for?

Collecting feedback that should not be public. You build a form, choose the questions, and send it to whoever you want. Responses come back anonymous and stay internal, so they never touch a review profile. Groups use them to test whether a change actually improved things, and to ask about topics that are too specific or too sensitive for a public review.

How do you handle HIPAA in a public review reply?

By keeping a human in the loop and never confirming care. Replying "sorry your wait was long" to a named reviewer confirms that person was a patient, which is the disclosure risk rather than the wording. Drafts acknowledge the experience and move the conversation to a phone number. A person approves before anything is published, and outbound requests never reference a condition, a department or a procedure.

How does this work across a group with several locations?

Each location is connected separately and keeps its own profile, its own alerts and its own numbers, and they roll up into one view. Topic sentiment, staff names and reply queues can all be read per site or across the group, so you can tell whether a problem is everywhere or in one building. Pricing is per location at $45 a month.

Which review platforms matter for a healthcare group?

Google decides whether a clinic appears when someone searches for care nearby, so it comes first by a distance. Healthgrades, Vitals and Zocdoc carry weight when a patient is choosing between named providers, and Facebook still matters for the sites whose community found them there. Reviewflowz watches those and the long tail of directories from one inbox, so a one-star at any site reaches the right person in minutes.

What does it cost?

Reviewflowz is $45 a month per location. Review requests are pay as you go on top: $5 per 1,000 emails, $5 per 100 SMS, and WhatsApp rates that vary by country, with no monthly minimum. The 14-day trial does not ask for a card, and there is no demo call or onboarding fee.
